NetSuite Licenses

Number of NetSuite Users & User License Type

The first step in determining NetSuite pricing is identifying how many NetSuite users within your company there will be and what type of licenses are needed:

Full NetSuite User Licenses

Required for users who need full access to NetSuite’s core functionalities, such as accounting, inventory management, CRM, and reporting.

Employee Center Licenses

Limited-access licenses for employees who only need to perform basic tasks like time tracking, expense reporting, and purchase requisitions.

Establishing the number of NetSuite users and their license type is key, as this will be major determining factor in what NetSuite edition you will select.

NetSuite Editions

Your NetSuite edition is primarily determined by the number of Full NetSuite User Licenses and does not include Employee Center licenses. This means that even if your business has a large number of Employee Center users, your NetSuite edition is still based solely on the number of Full NetSuite User Licenses.

  1. NetSuite Financial Management (ERP-Only Edition)
    • Designed for companies that already have a CRM and need core ERP functionalities.
    • Best for businesses looking to integrate NetSuite with an existing CRM solution.
  2. NetSuite Starter/Limited Edition (ERP & Optional CRM)
    • Ideal for small businesses with up to 10 user licenses, one legal entity, and up to 50 employees.
    • Provides core ERP functionalities, with optional CRM integration.
  3. NetSuite Mid-Market/Standard Edition (ERP & CRM)
    • Best for growing businesses with 11 to 1,000 users.
    • Designed for companies with two or more legal entities needing consolidated financial reporting.
    • Most popular option among mid-sized businesses.
  4. NetSuite Enterprise Edition (ERP & CRM)
    • Built for large enterprises with over 1,000 users.
    • Ideal for businesses with multiple legal entities that require advanced financial and operational management.
NetSuite Modules

The next step is to select which NetSuite modules best fit your business needs.

NetSuite ERP Standard FeaturesFinancial Management, Global Business Management, Inventory Management, Order Management, Supply Chain Management, Warehouse Management, Accounting, Multi-Currency & Multi-Language, Employee Center, Basic Inventory & Project Management
NetSuite CRM Standard FeaturesMarketing Automation, Salesforce Automation, Reporting & Analytics, and Upsell, Quote, & Order Management
Industry Specific Module SuitesIf the NetSuite ERP & CRM Standard Features don’t meet all your needs, you can also choose from a variety of Industry Specific Module Suites including Financial Management Modules (FMS), Inventory & Manufacturing Management Modules (WMS & MRP), NetSuite Supply Chain Modules, NetSuite Professional Services Automation (PSA) Modules, and NetSuite Commerce Modules (POS).
Individual ModulesEach module listed for the industries above can also be licensed individually depending on your needs. For example, if you don’t need all of the functionality provided for the Supply Chain Module Suite but you still want Advanced Manufacturing capabilities, you can license that singular module.
NetSuite Service Tier

The last factor of NetSuite license pricing is your NetSuite Service Tier. These tiers are based on a maximum number of users, file storage, and monthly transaction lines. If you will have 100 or less full NetSuite user licenses and 200,000 or less monthly transaction lines, you will be in the Standard service tier, with no additional cost. If you will be exceeding 100 full NetSuite user licenses and have significant transaction volume, you will fall into one of the three advanced service tier categories, which are an additional fee.

NetSuite Implementation Services

The next factor in NetSuite pricing is the cost of implementation. You should expect to pay $150-$350 per hour for your NetSuite implementation. This rate varies based on the level of implementation experience your NetSuite Provider has as well as their industry expertise. An important point to keep in mind is that a lower hourly rate does not always equate to a lower cost implementation. Senior implementation consultants can often complete an implementation in less time and with significantly better results.

Discovery & Planning

A successful NetSuite implementation begins with a thorough Discovery & Planning phase.

Your implementation team will conduct an in-depth analysis of your business needs, ensuring they understand the exact requirements for a seamless and effective NetSuite deployment. It includes:

Analysis of Current Software & WorkflowsEvaluating existing systems and processes
In-Depth Business Process ReviewIdentifying inefficiencies and areas for improvement
Process Migration AssessmentDetermining which workflows should be carried over
Gap AnalysisAddressing inefficiencies and missing functionalities
Additional NetSuite Functionality NeedsIdentifying required modules or add-ons
Custom Development RequirementsOutlining any necessary customizations
Implementation BlueprintCreating a detailed roadmap for a smooth NetSuite deployment
Configuration & Deployment

During this stage, your NetSuite system is configured, customized, and built to align with your business requirements. This phase also includes comprehensive user acceptance testing to ensure all functions operate smoothly. The cost and duration of configuration and deployment depend on the scope of your implementation—if no customizations or integrations are needed, the process will be significantly faster.

Data Migration

The cost of data migration can vary greatly depending on your requirements and data volume. The lowest cost approach would be to migrate only historical monthly financial trial balances, which is a relatively short and straightforward process. The more complex and high-volume data is required, the more time and effort is needed to clean, organize, and prepare the data for migration into NetSuite.

NetSuite Customizations

NetSuite’s standard features cover many business needs, but certain customizations may be required to align with unique business processes and optimize performance. The main areas that often require custom development include:

Advanced AutomationCustomizing workflows with scripts and configurations to automate tasks that go beyond NetSuite’s standard capabilities, ensuring processes are tailored to specific business needs.
Industry-Specific FunctionalityDeveloping custom modules and features to address specialized processes, ensuring NetSuite meets the unique requirements of specific industries.
Custom Reporting & DashboardsCustomizing reports and dashboards to capture complex calculations, advanced metrics, and specific data storage needs, providing more tailored insights for better decision-making.
User Experience & Interface EnhancementsCustomizing dashboards, navigation, and layouts to improve usability and ensure a more intuitive experience for employees.

There are two primary types of NetSuite customizations:

  • SuiteFlow (Workflows)
    • A point-and-click, no-code solution for automating business processes.
    • Ideal for non-technical users or companies without an in-house development team.
    • Cost-effective way to enhance NetSuite without custom development.
  • SuiteScript
    • A JavaScript-based development platform for advanced customizations.
    • Support for complex automation, integrations, and tailored functionality.
    • Experienced developers required to build and maintain.

Your NetSuite integration partner will assess your business needs and recommend the best customization approach to maximize efficiency and scalability.

NetSuite Integrations

The cost of NetSuite integrations generally range from $0 to $10,000+ per year, with a one-time implementation fee of $0 to $7,500+, depending on the type of integration and complexity of development to fulfill your requirements.

Examples of platforms commonly integrated with NetSuite include Salesforce, Shopify, Amazon (FBA & FBM), ShipStation, WooCommerce, HubSpot, Microsoft Suite, Power BI. Unless your team has in-house developers proficient in API connections and NetSuite’s SuiteScript language, partnering with a third-party expert is the best approach for a seamless NetSuite integration.

NetSuite Training

A base level of NetSuite user training is typically built into the implementation process in the form of Walkthroughs and User Acceptance Testing to ensure a smooth transition for your team. However, if you desire more in-depth expertise, advanced training options are available, allowing users to maximize NetSuite’s full capabilities.

Another option for NetSuite training would be to leverage online courses such as NetSuite SuperTraining, which offers guided training videos from beginner to advanced users. If you do not require bespoke training, this is often the most cost-effective approach.
